Terms of service.

Red Letter Travel is an independent contractor and independent affiliate of Brownell.
All travel arrangements made through Red Letter Travel are subject to the following terms and conditions:

CONSENT TO TERMS AND CONDITIONS

Access to and use of the services of Red Letter Travel, Inc. dba Red Letter Travel (“Red Letter Travel” or “we/our”) and our website are subject to acceptance of these Terms and Conditions. By accessing, using, or obtaining any content, products, or services through our offices or website, you—the purchaser and/or traveler (“you,” “your,” “Customer,” or “passenger”)—agree to be bound by these Terms and Conditions.

PLEASE READ THESE TERMS CAREFULLY. If you do not accept all of these terms, please do not use our website or services. These Terms govern the relationship between you and Red Letter Travel and include important limitations of liability and warranty disclaimers.

By using our services, you acknowledge and agree that:
(a) Access to this website is free and convenient;
(b) You have the choice not to proceed if you disagree with any part of these Terms; and
(c) If you consider any provision unacceptable or essential information missing, you should not use our website or services.

TRAVEL DOCUMENTS, INCLUDING TSA AND DHS IDENTIFICATION REQUIREMENTS

It is the responsibility of each traveler to obtain and carry a valid passport, visa(s), and any other documentation required by applicable government regulations. When traveling domestically or internationally, the U.S. Transportation Security Administration (TSA) and the U.S. Department of Homeland Security (DHS) advise carrying at least two forms of acceptable identification, which can be found at tsa.gov. Examples include a DHS-designated enhanced driver’s license, a U.S. passport, or a foreign government-issued passport. The name, date of birth, and gender on your identification must exactly match what is listed on your airline ticket(s) and booking records.

Red Letter Travel strongly recommends ensuring that passports are valid for at least six (6) months beyond your planned date of entry, as many countries will deny admission otherwise. Non-U.S. citizens may require additional documents, and children or infants must also have appropriate travel documentation.

Minors traveling with only one parent or without either parent may be denied entry unless they have notarized consent forms; more information is available at cbp.gov. For U.S. child groups under age 19 entering by land or sea from neighboring countries, a birth certificate, Consular Report of Birth Abroad, or Naturalization Certificate may be accepted, along with written consent from a parent or legal guardian for the group leader.

You acknowledge that failure to comply with these requirements may result in denied boarding, delays at security checkpoints, or missed flights and scheduled travel arrangements. We strongly recommend checking each supplier’s website to ensure every member of your travel party meets the documentation requirements.

INDIVIDUAL ENTRY & EXIT REQUIREMENTS

Entry and exit requirements vary by country—especially for travelers with prior criminal offenses. If you have any concerns, it is your responsibility to contact the destination country’s embassy or consulate for guidance.
See:
U.S. State Department Travel Info

Red Letter Travel does not control or guarantee visa issuance and is not responsible for decisions made by local immigration authorities. It is the traveler’s responsibility to ensure all required visas are obtained, valid for the correct dates, and accurately reflect your personal information. Your passport must be valid for at least six (6) months beyond the return date of your trip.

Note: Even with a valid visa, entry can still be denied at the discretion of border officials. Red Letter Travel is not liable for lost payments due to denied entry or visa issues. For privacy reasons, we do not inquire about criminal history, but we advise travelers with prior convictions (e.g., DWI) to verify eligibility, especially when traveling to or through Canada. See: Canada Immigration Info

RISKS & SAFETY

Travel to certain destinations may carry increased risks. Red Letter Travel encourages clients to stay informed and review official travel advisories before booking international travel. Helpful resources include:

We also recommend enrolling in the Smart Traveler Enrollment Program (STEP), a free U.S. government service that helps citizens receive safety updates and emergency support while abroad.

By offering travel to a destination, Red Letter Travel does not guarantee it is safe or risk-free. Clients travel at their own risk and agree that Red Letter Travel is not liable for any resulting costs, damages, or losses.

USE OF RED LETTER TRAVEL SERVICES & BOOKING INFORMATION

By using Red Letter Travel’s services or website, you confirm that you are at least 18 years of age and have the legal authority to enter into this agreement and make travel bookings in accordance with our terms. You agree to be financially responsible for all bookings made under your name, including those made by others in your household (e.g., minors). You also agree to supervise any use of our services under your name or account.

You warrant that all information provided by you or on your behalf is accurate and truthful. You agree not to make speculative, false, or fraudulent bookings or any reservation in anticipation of demand. All travel reservations made through Red Letter Travel must be for legitimate purposes, either for yourself or for someone you are legally authorized to represent.

You acknowledge that separate supplier terms and conditions apply to any travel-related services you book. You agree to comply with the terms set by both Red Letter Travel and the suppliers we engage on your behalf, including full and timely payment and adherence to all rules regarding availability, pricing, and use of services. Violating these terms may result in the cancellation of your bookings, loss of access to travel services, forfeiture of payments made, and potential charges to your account for any resulting costs incurred by Red Letter Travel.

You authorize Red Letter Travel to book travel services via third-party platforms as needed to fulfill your requests, and you agree to be bound by the terms and conditions of those third-party suppliers. In cases of conflicting or unclear terms, Red Letter Travel shall receive the benefit of the most favorable interpretation.

PAYMENTS & CANCELLATION POLICY

Final payment deadlines are determined by the terms and conditions of each travel supplier involved in your itinerary—this may include airlines, hotels, cruise lines, transfer services, tour operators, and other vendors. Failure to make full payment by the stated due date may result in cancellation of your booking and forfeiture of any deposits.

Please note: some bookings are completely non-refundable once confirmed and paid.

Cancellation terms vary by supplier, and your right to a refund may be limited. All cancellation requests must be submitted to Red Letter Travel in writing. Any applicable penalties—charged by either Red Letter Travel or third-party suppliers—will be outlined in your travel documents, at the time of booking, and can also be found on supplier websites.

If anything is unclear, your Red Letter Travel advisor is available to answer questions. Any cancellation fees will be charged to the credit card on file or deducted from any eligible refund issued by the supplier.

AIR TRAVEL, CHECK-IN & FLIGHT SCHEDULE RECONFIRMATION

Unless otherwise specified in writing, airline reservations are not included in your travel package.

If air arrangements are not part of your Red Letter Travel itinerary, it is your responsibility to book flights and coordinate transportation to and from your departure and arrival destinations. Red Letter Travel does not assume liability for changes to air or ground transportation schedules.

Please be aware that some countries may impose departure taxes payable in cash at the airport—amounts and requirements vary by destination.

For all flights, we strongly recommend the following:

  • Arrive at the airport at least 2 hours prior to departure for domestic flights and 3 hours prior for international flights.

  • Reconfirm all flight times at least 24 hours in advance for domestic travel and 72 hours for international flights.

Failure to check in or use a flight segment may result in the automatic cancellation of remaining flight segments and forfeiture of the airfare.

LATE BOOKINGS

We strongly recommend securing your travel plans well in advance to ensure availability and avoid disappointment. Bookings made close to the departure date may be subject to additional fees and limited options due to supplier constraints.

NO REFUND FOR UNUSED ARRANGEMENTS

Because many of our prices are based on contracted, nonrefundable rates, no refunds will be issued for any unused portion of your travel arrangements. For group tours with minimum participant requirements, a surcharge may be applied or the tour may be canceled if the minimum is not met.

CURRENCY FLUCTUATIONS

Travel pricing may be impacted by changes in currency exchange rates. Prices are subject to adjustment if actual currency fluctuations occur between the time of booking and final payment.

ALTERATIONS TO CONFIRMED BOOKINGS

If you request changes to any part of your confirmed travel arrangements—either before departure or during your trip—we will do our best to accommodate your request. Please note that changes may be subject to availability and will incur an administrative fee, along with any additional costs imposed by suppliers.

IMPORTANT INFORMATION FOR DOMESTIC AIR TRAVELERS

Per the Federal Real ID Act, all air travelers must present a Real ID-compliant form of identification to board domestic flights. Beginning October 1, 2021, standard state-issued driver’s licenses that do not meet Real ID requirements will no longer be accepted for domestic air travel. Travelers without a compliant license will need an alternate acceptable form of ID, such as a valid U.S. passport. To avoid disruptions, we recommend confirming your ID status with the Department of Homeland Security at www.dhs.gov/real-id.

HEALTH / SECURITY / TRAVEL DOCUMENTATION REQUIREMENTS

Each traveler is responsible for securing proper documentation, including required immunizations, prior to travel. Red Letter Travel does not guarantee the accuracy of health or entry requirements and is not liable for denied entry due to incomplete documentation. We recommend consulting with your physician regarding any necessary vaccinations and reviewing travel health guidance at wwwnc.cdc.gov/travel.
Please visit
www.travel.state.gov and other official sources (TSA, FAA, DOT, CBP) for current entry, health, and security advisories. Non-U.S. passport holders must alert their advisor, as different requirements may apply. Required vaccinations must be documented and carried during travel where applicable.

LIMITATIONS OF RESPONSIBILITY AND DISCLOSURE

Red Letter Travel, an independent affiliate of Brownell, acts solely as a booking agent for disclosed principal suppliers—such as cruise lines, hotels, airlines, transfer companies, tour operators, and other independent contractors providing accommodations, transportation, and/or related services (“Suppliers”). Red Letter Travel is not the source or provider of these services and does not control their operations.

Each Supplier is an independent entity with its own terms and conditions, which govern the services provided. By booking through Red Letter Travel, you agree to those terms, which may be found in your travel documentation or on the Supplier’s website. All bookings are accepted by Red Letter Travel as an agent for these Suppliers.

Because Red Letter Travel does not control the operations of these Suppliers, you agree that Red Letter Travel is not liable for any personal injury, property damage, or other loss that may arise from services provided by any Supplier. This includes, but is not limited to, acts, errors, omissions, negligence, delays, service failures, fuel surcharges, or other changes outside our control. Red Letter Travel expressly disclaims liability for any direct, indirect, incidental, special, or consequential damages.

Please note that the Americans with Disabilities Act (ADA) applies only within the United States. Facilities and accommodations for travelers with disabilities may be limited or unavailable abroad. A physically able companion must accompany travelers requiring personal assistance. Motorized scooters may not be suitable, and many transportation services, including tour motorcoaches, may not be equipped with wheelchair lifts or ramps.

While we strive to honor original pricing, certain factors may result in increased costs—including government-imposed taxes, airline surcharges, or foreign exchange fluctuations. Full payment generally protects you from post-payment air price increases, except in cases of tax or fee changes by the government. By booking with Red Letter Travel, you authorize us to charge any necessary adjustments to your card. This consent applies to all current and future travel arranged by Red Letter Travel and expires five years after your last booking unless revoked in writing.

Weather and natural conditions—including, but not limited to, snow, rain, wind, ash clouds, or volcanic eruptions—are unpredictable and outside of Red Letter Travel’s control. Red Letter Travel is not liable for disruptions or cancellations due to such events. We reserve the right to make changes to itineraries or to refuse service to any traveler when deemed necessary.

LIMITED LIABILITY

Red Letter Travel only receives commissions and/or fees for services rendered. By booking with us, you agree that any potential recovery is limited solely to the amount of commissions or fees paid by you and actually received by Red Letter Travel in the twelve months prior to the claim.

FORCE MAJEURE

“Force Majeure” refers to circumstances beyond the reasonable control of Red Letter Travel, including but not limited to: acts of God, natural disasters (such as fire, flood, earthquake, hurricane, or severe weather), war (declared or undeclared), acts of terrorism, civil unrest, labor disputes, pandemics, epidemics, government actions or travel restrictions, mechanical failures, wildlife interference, or any other event that renders travel unsafe or impractical.

Red Letter Travel shall not be considered in breach of these Terms and Conditions, nor liable for any delay, cancellation, or failure in performance, to the extent such disruption is due to Force Majeure.

If Red Letter Travel or any of our trusted suppliers are impacted by a Force Majeure event, we reserve the right, at our sole discretion, to modify, reschedule, or cancel any part of the itinerary or services. While we will make every reasonable effort to recover funds where possible, the decision to issue a refund remains entirely at the discretion of Red Letter Travel and will depend on recoverable costs from suppliers. Any potential refund may be subject to cancellation fees and deductions for unrecoverable expenses incurred due to the Force Majeure event.

In cases of civil or political unrest, Red Letter Travel will assess the situation and determine whether it is advisable to proceed with your travel plans. You may elect to cancel, but standard cancellation policies from both Red Letter Travel and the involved suppliers will apply.

TRAVEL INSURANCE

Red Letter Travel offers access to a range of optional products and services to enhance your travel experience—including highly recommended travel insurance. Unless specifically noted, travel insurance is not included in the cost of your trip. Insurance can help protect your travel investment against a variety of unforeseen circumstances, including:

  • Trip cancellation or interruption

  • Supplier default or bankruptcy

  • Medical emergencies and evacuation

  • Travel delays or missed connections

  • Lost, stolen, or delayed baggage

  • Job loss or change of plans

  • Travel accident and sickness coverage

  • Accidental death or disability

Without appropriate coverage, you acknowledge and agree that if you cancel or interrupt your trip for any reason, portions of your travel arrangements may not be refundable. Standard cancellation penalties from both Red Letter Travel and our suppliers will apply, and you may forfeit up to the full cost of your travel.

While the purchase of travel insurance is optional, it is strongly encouraged. Red Letter Travel employees are not licensed insurance agents and cannot provide advice on specific coverage, conditions, or exclusions. Travel insurance is available at an additional cost.

ALTERATIONS IN TRAVEL PLANS

Changes to your itinerary may be required for a variety of reasons, including but not limited to weather disruptions or supplier availability. Red Letter Travel reserves the right, at its sole discretion and in accordance with each supplier’s terms and conditions, to modify travel arrangements as needed. If a property, experience, activity, or destination becomes unavailable, it may be substituted with a comparable option.
